Start with a decision that needs data

AI in an ERP becomes useful when it answers a concrete business question: which customers have outstanding balances, how sales changed or which items need attention. The conversation needs a connection to your system. A general chatbot can explain a concept, but it does not know your company's revenue without access to the relevant records.

Choose a report you already use. Specify the company, dates and meaning of its main measure. If revenue means net value after credit notes, say so. This gives the first experiment a clear scope and a known result to compare against the ERP.

Understand what the connection does

Give the team appropriate access

Ask your ERP administrator for an account with the permissions needed for the report. Name the connection so its company and environment are clear. A sales manager's reporting needs may differ from an administrator's access requirements.

Enter passwords and API keys in the connection forms. Put business instructions in the conversation. When using an external AI application, also review its data settings and your organization's policy. Connector access and the AI application's treatment of data are separate decisions.

Make the answer verifiable

Ask for the company, period, source and exclusions alongside every total. Request a record count and confirmation that all result pages were retrieved. A sample of invoices cannot establish the full month's revenue.

Computed measures need their own checks. An invoice's age alone cannot establish an overdue balance: payment terms, receipts and offsets also matter. Use an appropriate ERP report or ask the answer to identify any missing data.

Validate a small, familiar dataset first

Start with a closed week or one customer. Compare the answer with the corresponding ERP report. A discrepancy often reveals an unclear report definition: document series, branch, date field or choice of amount may explain it.

Keep the agreed instructions, including filters and expected columns. Reuse them for another period once the result is verified. The team then has a common definition of what it measures before using the report to make decisions.
