SoftOne with an AI chatbot: connection requirements and useful questions
What to request from your SoftOne administrator and which questions to try against your own records.
What asking SoftOne through AI means
Advisable.AI connects a conversation to records in your SoftOne installation. You can ask about customers, items or documents using Advisable AI or the MCP connector in a compatible external application. The available answers depend on permissions and the installation's configuration.
The connection uses SoftOne Web Services. Here, “SoftOne AI chatbot” describes that use of Advisable.AI; it does not identify a SoftOne product or imply a vendor partnership.
Ask your administrator for the right settings
Request the settings for your actual installation before completing the form. The URL must point to s1services and the account must have access to the services you need. An everyday ERP login does not necessarily have equivalent Web Services access.
Confirm the company and branch, particularly when the account can access multiple targets. Example numbers in a form are placeholders. Use the administrator's verified values and enter credentials only in the connection form.
| Setting | Confirm |
|---|---|
| API URL | Your s1services endpoint |
| App ID | The Web Services application identifier |
| Username / Password | An account with appropriate access |
| COMPANY / BRANCH | The intended company and branch |
| MODULE / REFID | Values required by your installation |
Validate the connection with a small question
Give the connection a recognizable name, complete the connection test and check that the saved connection is active and available to your account. Saving settings and having access to an active connection are separate steps.
Select the connection in Advisable AI. For an external application, use the saved card's MCP URL and OAuth instructions. Start with one familiar invoice or a few customer records to confirm that the right company and expected data are available.
Questions to try
«Show the latest sales document for the selected company, including date, customer, series and amount. Read only. State whether the amount includes VAT.»
Explore records without guessing fields
The connector can search records, retrieve full record details and inspect the fields the installation exposes. Typical areas include customers, suppliers, items, sales documents and purchases. An available area does not mean that every calculation is a ready-made column.
A customer balance may be a computed value. For complex totals, an administrator can provide a named report query using SqlName or an appropriate ERP report. This makes the definition explicit instead of relying on a guessed field name.
Specify the period and meaning of the measure
Dates, series and amount definitions shape the result. Ask how credit notes and cancellations are treated. For a large period, use an available aggregate report or verify that all pages were retrieved.
Define subjective terms too. “Best customers” could mean net sales, purchase frequency or collected payments. Slow-moving stock needs a period without sales and an agreed definition of available quantity.
Questions to try
«Compare September 2026 and September 2025 net sales by customer. Show differences in euros and percentages, identical filters and any missing data.»
«Show the 10 largest recorded customer balances and their as-of date. Do not describe them as overdue without due-date information.»
«Find items with zero available stock that sold during September 2026. Explain which field supports the stock figure.»
Investigate errors and discrepancies
For a failed connection, check URL, App ID, Web Services account and company selection. If authentication works but records are missing, test a small known period and verify permissions. Empty results do not establish that the company had no sales.
For differing totals, compare company, branch, dates, series and calculation rules. Retrieve a few individual records for inspection. When requesting help, provide the error and nonsensitive parameters without passwords or OAuth secrets.
Understand optional write access
The connection stays read only unless writes are enabled. The dedicated create/update tool then uses a preview followed by separate confirmation, and the SoftOne account must also have write permissions. Deletion remains blocked.
Reports do not require writes. Before posting a document, inspect company, series, counterparty, items, quantities and amounts in the preview. Posting can affect ERP operations and the document's transmission process.
Frequently asked questions
Do I need Web Services access?
Yes. The connector needs valid s1services settings and permissions for your installation. Your SoftOne administrator can confirm the requirements.
Can AI execute arbitrary SQL?
The custom reporting tool uses named SqlName queries already configured on the SoftOne server. Writing arbitrary SQL in the conversation does not create such a query.
